Chapter 46: Sorting and Advanced Sorting in Excel

Sorting data in Excel helps organize information, making it easier to analyze and interpret. This chapter covers basic and advanced sorting techniques, including horizontal and vertical sorting and color-based sorting.


Basic Sorting

  1. Sorting Data Alphabetically or Numerically
    • To Sort in Ascending Order:
      • Select the range of cells you want to sort.
      • Go to the Data tab on the Ribbon.
      • Click on the Sort Ascending button (A-Z or smallest to largest).
    • To Sort in Descending Order:
      • Select the range of cells you want to sort.
      • Go to the Data tab on the Ribbon.
      • Click on the Sort Descending button (Z-A or largest to smallest).
  2. Sorting by Multiple Criteria
    • Steps:
      • Select the range of cells to sort.
      • Go to the Data tab and click on Sort.
      • In the Sort dialog box, choose the column to sort by first from the Sort by drop-down list.
      • Select the sort order (Ascending or Descending).
      • Click Add Level to sort by additional columns.
      • Click OK to apply the sort.

Horizontal and Vertical Sorting

  1. Vertical Sorting
    • To Sort Columns (Vertical Sorting):
      • Select the range of cells, including column headers.
      • Go to the Data tab.
      • Choose Sort.
      • In the Sort dialog box, choose the column to sort by.
      • Select the sort order.
      • Click OK to apply the sort.
  2. Horizontal Sorting
    • To Sort Rows (Horizontal Sorting):
      • Select the range of cells, including row headers.
      • Go to the Data tab.
      • Choose Sort.
      • In the Sort dialog box, click on Options and select Sort left to right.
      • Choose the row to sort by and select the sort order.
      • Click OK to apply the sort.

Advanced Sorting

  1. Sorting by Color
    • To Sort by Cell Color:
      • Select the range of cells.
      • Go to the Data tab and click Sort.
      • In the Sort dialog box, choose Sort by and select the column with colored cells.
      • In the Sort On drop-down, select Cell Color.
      • Choose the color you want to sort by and select the position (top or bottom).
      • Click OK to apply the sort.
    • To Sort by Font Color:
      • Follow the same steps as above but choose Font Color instead of Cell Color.
  2. Sorting by Icon
    • To Sort by Icon:
      • Select the range of cells.
      • Go to the Data tab and click Sort.
      • In the Sort dialog box, choose Sort by and select the column with icons.
      • In the Sort On drop-down, select Cell Icon.
      • Choose the icon you want to sort by and select the position.
      • Click OK to apply the sort.

Pro Tip:

  • Use Custom Sorts: For more control, use custom sorts where you can specify your sorting preferences in detail. This is especially useful when sorting by multiple criteria or creating complex sorting rules.
